Privacy Policy

Sytmap is a product of Elwin Security. This starter Privacy Policy explains, in plain English, how Sytmap may collect and use information when employees, clients, partners, and visitors use the website, dashboard, client portal, proposal, invoice, form, signature, and communication features.

This is a starter policy prepared for public launch readiness. It still needs review by a qualified lawyer before Elwin treats it as final legal advice.

Account information, such as names, email addresses, company details, roles, account settings, and authentication details.

Business and project records, such as contacts, companies, addresses, project details, site survey information, proposal content, signed proposal information, onboarding form answers, invoices, payment status, service call details, work orders, appointment notes, and client portal activity.

Files and content uploaded into Sytmap, such as photos, documents, proposal writeups, knowledge base files, project documents, and related metadata.

Communications data when integrations are connected, such as Outlook email context, calendar and meeting information, phone and call-recording metadata, transcripts, messages, and related CRM activity records.

AI and knowledge content, such as chat messages, AI assistant outputs, uploaded knowledge files, extracted knowledge, and feedback used to operate or improve Sytmap features.

Usage, device, error, security, and log data, such as pages viewed, events, IP addresses where captured by the application or vendors, browser and device information, timestamps, authentication events, and diagnostic information.

To operate Sytmap, including the dashboard, client portal, proposals, forms, electronic signatures, invoices, scheduling, documents, communications, AI features, and integrations.

To keep business records for projects, proposals, invoices, service calls, work orders, payments, support, security, and legal or accounting needs.

To provide support, troubleshoot issues, protect accounts, prevent misuse, monitor reliability, and improve the product.

To connect Sytmap with third-party services that Elwin or a customer chooses to enable, such as email, calendar, phone, payment, shipping, analytics, error monitoring, AI, and collaboration tools.

Sytmap may use service providers to host, secure, operate, monitor, and improve the product. Depending on the enabled features, these may include AWS, including Cognito, S3, and RDS; Vercel; Microsoft; Stripe; Twilio; LiveKit; ElevenLabs; Resend; Sentry; PostHog; Anthropic; OpenAI; Google; EasyPost; Slack; GitHub; and similar business-service providers.

Some vendors are only used when a workspace connects or enables that integration. A formal subprocessor list should be reviewed and approved as a follow-up legal and security task.

Sytmap uses necessary cookies and similar technologies for login, routing, invitations, return paths, OAuth connection flows, security, and application operation.

Sytmap currently uses PostHog analytics on the employee dashboard only. The public landing pages and client portal are not intended to be tracked with PostHog in this starter setup. Sentry may collect error and diagnostic details when something breaks.

This first version does not add a cookie banner. Elwin should review whether a banner, Global Privacy Control handling, a notice at collection, or a Do Not Sell or Share link is required for the final policy.

You may contact Elwin to ask about access, correction, deletion, or privacy questions related to your information. Some records may need to be kept for project, invoice, security, legal, or accounting reasons.
